XERO – How to customise an invoice?

Using invoice templates in Xero

You can personalise your invoices, quotes, customer credit notes, customer statements, and purchase orders display using templates in Xero.

You can add multiple invoice templates to use in different situations, such as different payment terms or different logos. There’s no limit to the number of templates you can add and personlise.

 

You can Create/copy/edit/preview an invoice template

Create an invoice template

  1. Click the organisation name, select Settings, then click Invoice settings
  2. Click New Branding Theme
  3. Enter a name to help identify the theme
  4. Adjust the options as needed to customise your invoice’s appearance or to show additional fields. You can also enter your contact details and invoice or quote terms.
  5. Click Save.

Copy an invoice template

  1. Click the organisation name, select Settings, then click Invoice settings.
  2. Find the template you want to copy, click Options, and then select Copy.
  3. Enter a name for your new template.
  4. Click Save.

Edit an invoice template

  1. Make changes to an existing invoice template. You can update your contact details, invoice terms or payments details.
  2. Click the organisation name, select Settings, then click Invoice settings.
  3. Find the template you want to edit, click Options, and then select Edit.
  4. Make your changes, then click Save.

Preview an invoice template

To preview your invoice template:

  1. Click the organisation name, select Settings, then click Invoice settings.
  2. Find the template you want to preview, click Options, and then select Preview.

To see how the invoice template will look with real information:

  1. Create an invoice, then enter relevant details.
  2. Under Branding theme, select the name of the template.
  3. To view the invoice in new invoicing, click the arrow next to Send and select Print PDF. If you’re viewing in classic invoicing, click Preview.
